ESIC Portal Not Working: Employer Login, Password and Filing Errors (2026)

Most reports of the ESIC employer login portal not working come down to four causes: a portal password that has quietly passed its validity window and looks correct but is rejected anyway, an account locked out after repeated wrong-password attempts, an OTP that never arrives because the mobile or email registered against the employer code has gone stale, or genuine — usually brief — scheduled maintenance or peak-load slowness around a filing deadline. It is almost never a code-red, all-day outage: the fix in nearly every case is Forgot Password, a fixed OTP wait, or a corrected contact detail, not repeated retrying.

The employer portal at esic.gov.in is also easy to confuse with the separate Insured Person (IP) portal that employees use, and with the older esic.nic.in / esic.in addresses that were folded into esic.gov.in — a stale bookmark or the wrong portal is its own source of 'login not working' reports that has nothing to do with a genuine error. This guide covers the employer side only: login, password, the 17-digit employer code, adding employees, and monthly filing. Domain consolidation still catches out old bookmarks: ESIC's web domains were consolidated some years back: the older esic.nic.in and esic.in addresses were merged into esic.gov.in.   • "esic employer login portal not working" / "esic portal not working today" — almost never a real outage. Documented recurring causes are an expired portal password, a locked account after repeated wrong attempts, a browser/cache problem, or brief scheduled maintenance or peak-load slowness around filing deadlines.
  • "Authentication Failed" (generic, no number) — most commonly wrong credentials, or a password that has passed its validity period and must be reset even though it still looks correct.
  • "Authentication Failed.4" ("esic login error authentication failed 4") — this specific numbered variant is not documented by ESIC or by any primary source found for this guide. Practitioner forums mention "Authentication Failed.3" and "Authentication Failed.4" as variants of the generic error, but no source states what the number itself means (expired password vs locked account vs wrong OTP).   • Employer codes reported as blocked, and month-to-month slowness or errors updating employee/family details, are recurring complaints from employers and consultants on public forums, concentrated around filing periods — this is anecdotal evidence from user reports, not an ESIC-published incident log, but it matches the pattern of genuine portal strain near deadlines.
  • ESIC has at least once published a specific scheduled-maintenance window (a nighttime window, for example midnight to 6 AM) during which the portal was expected to be down — confirming that some "not working" reports are planned maintenance rather than an unannounced fault, though no recurring public maintenance calendar was found.

The ESIC password rule, and how to reset a forgotten one

"esic password example" is a real search, and the honest answer is: there is no example to give. The only documented composition rule for the employer portal password is 8 to 16 characters, alphanumeric, with at least one letter and at least one number — sources do not document a mandatory special-character requirement, so don't assume one is needed. For "esic employer forgot password" or an "esic login password reset": on the employer login page, click Forgot Password, enter the User ID/Employer Code plus the registered email address, and the portal emails a new system-generated password to that registered contact — it will not read your old password back to you. OTP not received, and the employer portal vs the IP portal

  • An OTP for mobile-number verification on ESIC portals is valid for 10 minutes and can be generated a maximum of 3 times; after 3 consecutive attempts, the system blocks further OTP generation for that mobile number for the next 3 hours. Repeatedly hitting resend makes it worse, not better.

Employer code, sub-codes and the C-11 registration letter

A sub-code is a separate identification number an employer obtains, under the same principal 17-digit code, for a branch office, sales office, administrative office or Registered Office located away from the main premises, including in a different state — so a multi-location employer adds a sub-code rather than registering from scratch again. Sub-codes can be generated online through the employer portal using the existing login.

'Esic registration certificate download' searches are usually looking for Form C-11, the system-generated Registration Letter emailed to a newly registered employer after the first advance contribution is paid, carrying the 17-digit registration number as proof of registration. Whether it stays available for on-demand download from the employer portal afterwards, or only ever arrives once by email, is genuinely contradicted between secondary sources and could not be confirmed against the live portal for this guide — treat either claim you see elsewhere with caution.

Check the original registration email for the C-11 letter first. If it must be re-obtained and the portal's registration/establishment-details screen has no download option for it, the documented fallback is a written request to your Regional/Sub-Regional Office for a printed copy, or an RTI request — ESIC does not issue a separate physical 'certificate' apart from the C-11 letter and the monthly challan receipts.

Adding employees: Insurance Number, e-Pehchan and the Temporary Identity Certificate

  • Registering a new employee on the employer portal generates their Insurance Number (IP Number) immediately, before any contribution is paid — it is a registration artifact, not proof a contribution has been made for that employee.
  • At registration the system also issues a Temporary Identity Certificate (TIC) plus a printable Insurance Number slip for immediate use, for example at a hospital, while the physical biometric e-Pehchan card is dispatched to the employee's address separately, some weeks later.
  • The e-Pehchan card can also be downloaded or printed by the employee directly through the IP portal or the UMANG app, without waiting for the physical card — that download is an employee action on the IP portal, not something an employer pulls from the employer portal.
  • A late employee registration — an appointment date entered more than 10 days before the registration date — triggers an automatic show-cause notice. The employer must reply within 15 days; the declaration form is downloaded from the employer portal dashboard via Employee → Notifications → Late IP Registration Status Notifications → Download Declaration Form, with supporting documents then submitted to the Regional or Sub-Regional Office.

Contribution periods, filing deadlines and what a missed one costs

ESI runs on two fixed six-month contribution periods — 1 April to 30 September, and 1 October to 31 March — and each maps to a benefit period six months later: contributions from April–September fund benefits in the following January–June, and October–March funds the following July–December. The half-yearly Return of Contribution (RC) itself is not a fresh upload — it's a system-generated statement compiled from the monthly contribution data already filed, which the employer reviews, corrects if needed, and self-certifies on the portal (Monthly Contribution → View RC).

Under ESI Regulation 31-A, simple interest of 12% per annum runs on any contribution paid after its due date, from the day after the due date to the date of actual payment. ESIC can also levy graded damages on top of interest under Regulation 31-C — figures commonly cited are 5% p.a. for a delay up to 2 months, rising in slabs to 25% p.a. beyond 6 months — but this guide could not verify those exact slabs against the primary ESI (General) Regulations text, so confirm the current damages rate before relying on a specific number.

Looks like a portal bug but isn't

  • A challan and an ID card are different documents on different portals. For a paid contribution's receipt, log in to the employer portal and pull it from the Monthly Contribution / challan history section. For an employee's e-Pehchan card, that's downloaded by the employee from the IP portal or UMANG app with their own Insurance Number login — an employer cannot download it from the employer side.
  • A challan payment that looks stuck after the bank has already debited the amount is usually a gateway-confirmation lag, not a lost payment. Don't repeat the payment immediately: use the employer portal's 'Online Challan Double Verification' feature with the challan number to check the real status, and only escalate with the challan number and bank debit reference if it still shows unpaid after 24–48 hours.
  • Monthly contribution filing rejections are frequently a data-formatting problem in the uploaded wage/contribution Excel sheet, not a portal fault — documented examples include numbers stored as text, stray spaces around Insurance Numbers, extra blank rows or columns past the last data row, and a renamed worksheet tab (it must stay named 'Sheet1'). A 'Please Enter Valid Days or Wages for IP's' rejection is typically the text-not-number issue, commonly fixed in Excel via Data → Text to Columns → Delimited → Finish.
  • "esic website not working in mozilla firefox" is usually a browser-compatibility complaint, not a server outage — the employer portal has a history of rendering issues on certain browsers.
